Who we are and what this covers

Reach Software is operated by Adam Dodson, a sole trader trading as Reach Software in Victoria, Australia. References to “we”, “us” and “our” mean Adam Dodson trading as Reach Software. This policy describes personal information handling for our marketing website, enquiries, client relationships and hosted software. A separate written project agreement or product-specific notice may explain additional handling.

Information we collect

  • Enquiries and projects: your name, email address, optional business name, messages and information you choose to share during consulting or project work.
  • Accounts and organisations: account and profile information, sign-in and verification records, organisation membership, roles, invitations, and the versions and timestamps of legal documents you agree to or acknowledge.
  • Software use: content submitted to applications, configuration, integration authorisations and activity records needed to operate the features you use.
  • Billing: subscription details, payment status and payment-provider identifiers. Card payments are handled through Stripe; do not send card details by email or through the enquiry form.
  • Technical information: request, device, browser, security and error information processed by our hosting and security providers.

Please do not send passwords, payment details or sensitive personal information in an enquiry. Only provide information about other people when you have authority to do so.

How we use information

We use information to respond to enquiries, scope and deliver work, administer accounts and organisation access, provide requested software features, manage subscriptions and payments, provide support, investigate faults, protect against abuse and meet applicable legal obligations. record acceptance of service terms and acknowledgement of privacy notices, and resolve disputes. Where consent is required for an additional use, we will seek it. An enquiry is not, by itself, a request to receive unrelated promotional email.

Website enquiries, cookies and spam protection

The marketing website does not currently include advertising or analytics trackers. Its enquiry form sends your details and message through Resend to our business inbox; enquiries are not saved in a marketing website database. Copies may remain in email systems and provider records.

When enabled, Cloudflare Turnstile checks form submissions for spam and may process browser, device and network information. Cloudflare also provides edge and security services. Read the Cloudflare privacy policy and Resend privacy policy for their handling.

Signed-in applications use cookies needed for authentication and session security and may save interface preferences in your browser. Blocking essential cookies may prevent sign-in. Browser settings can control cookies and local storage.

Service providers and disclosures

Providers involved in delivering our services include Microsoft Azure for hosting and data services, Cloudflare for routing and security, Resend for email and Stripe for payments. Our business email provider also processes correspondence. Optional integrations involve the provider you choose to connect and the permissions you authorise.

Information may also be disclosed to professional advisers, when required by law, or where reasonably necessary to protect legal rights or investigate misuse. Organisation administrators can manage access and information within their organisation; do not treat an organisation workspace as a private personal account.

Our service providers may store or process information in Australia or overseas. The location may depend on the provider, service and configuration. We do not promise that information will only be stored or processed in Australia.

Information in a client workspace

Clients decide what information to put in their organisation workspace and whom to authorise to use it. We process that information to provide the service and follow applicable contractual and legal obligations. If your employer or another organisation supplies your information, contact its administrator about its own collection, use and access decisions. You can also contact us about our handling.

Security and retention

We use access controls and security measures intended to protect information against unauthorised access, loss and misuse. No online service can guarantee absolute security.

We keep information only as long as needed for service delivery, legitimate business records, dispute resolution and legal obligations, then delete or de-identify it where appropriate. Account deletion may not immediately remove backups, payment records, records of accepted terms, or information held by a client or independent provider. Retention periods vary by information type and provider; backups may persist for a limited period after active data is deleted. We do not promise a fixed deletion time.

Access, correction and privacy requests

Contact us to request access to or correction of personal information, ask about deletion, or raise a privacy concern. We may need to verify your identity and authority before disclosing or changing information. Legal, security and recordkeeping obligations may limit what can be supplied or removed; we will explain any applicable limits. Rights under the Privacy Act 1988 (Cth), including the Australian Privacy Principles, apply where that legislation covers the business or the relevant activity.

Questions and complaints

Email us, addressed to Adam Dodson, with details of your concern and how we can respond. We will consider the concern and respond within a reasonable period. If the matter is unresolved, you can contact the Office of the Australian Information Commissioner for guidance on whether it can consider a complaint.

Updates to this policy

This policy is effective from publication. Material changes will be communicated as required by law and any applicable agreement. The current Terms of Service are available here.
